Every year, the board of the Oslo National Academy of the Arts earmarks funds for artistic research. These funds are allocated by the so-called KUF Committee. Below you will find the information you need in order to apply. The application deadlines are 1 April and 1 October.

Guidelines for Internal Artistic Research Committee Funds

The Artistic Research Committee funds

Every year, the board of the Oslo National Academy of the Arts earmarks funds for artistic research (kunstnerisk utviklingsarbeid og forskning, KUF). These funds are then allocated by the Artistic Research Committee. Calls for funding proposals are announced twice a year. The Section for Studies, Research and Knowledge Transfer serves as the committee’s secretariat.

Academic staff may apply for funds from The Artistic Research Committee by using three application types: project, conference and publication, each with their own application form. In these guidelines, the term “artistic research project” will be used as a catch-all term for all three application types.

APPLYING FOR ARTISTIC RESEARCH FUNDS

Who can apply for artistic research funds?

  • Academic staff (project leaders) at the Oslo National Academy of the Arts whose work plan includes time dedicated to artistic research and who at a minimum are employed in a 50% position (.5 FTE). The project leader is the academic staff member who is listed as the applicant in the application form. The project leader is responsible for both the academic and administrative aspects of executing the project. The project leader is also responsible for involving the dean during the application phase, since the dean is responsible for the department’s quality of the research and should be kept abreast of planned and ongoing research projects.
  • The project leader may also apply for funding so that temporary employees, part-time employees, external experts, former employees and employees in technical-administrative positions may be included in the project.
  • Emeriti may apply for publication funds.
  • PhD candidates receive their own project funds upon being admitted to the PhD programme in artistic research and cannot apply internally for artistic research funding.

Stipulations for receiving artistic research funds

  • Artistic research at the Oslo National Academy of the Arts must be carried out in line with the current guidelines for research integrity, which are based on, among other things, the guidelines of the Norwegian National Research Ethics Committees and the requirements to how personal information may be used in research projects: https://khio.no/en/intranet/for-ansatte/artistic-research/research-integrity
  • The application must meet the definition of artistic research. At the Academy, artistic research is understood as a creative activity within art and design that provides new insight, awareness or knowledge or that influences the field. This activity is based on art and design practices, methods and critical reflection, and it is to be shared with the artistic and academic community as well as the general public.
  • Artistic research projects that also include artistic practice, but where the artistic research has been clearly formulated and is to be carried out during the project period, are eligible to receive funds.
  • The project leader must have met the requirements to documenting and submitting the results of previous projects that have been funded by the Artistic Research Committee.
  • The project leader’s dedicated time for artistic research shall be included in the project. Funds for relieving participants of their other duties (frikjøp) can only be allocated according to the terms of the project leader’s and project participants’ positions at the Academy. Applicants may not apply for additional work hours above those stated in their contract. Moreover, the dean must approve how the project participants are to be relieved of their other duties, in regard to both the work plan in general and their educational activities in particular.
  • The artistic research funds shall help cover expenses that exceed what the departments are expected to cover.
  • The Academy encourages academic staff to apply for external funding when possible and to combine such funding with artistic research funding and the various departments’ own resources.
  • If an artistic research project is expected to run for several years, applicants are advised to split the project up and annually apply for smaller amounts as the project progresses.

What usually does not receive funding?

  • artistic research projects that include artistic practice where the artistic research seems unclear
  • artistic research projects that include activities that have already been carried out
  • artistic research projects that involve teaching activities
  • professional development activities, such as participation in courses, conferences, seminars and the like, unless such activities are part of the project that funding is being applied for
  • projects that include payments to outside parties in order to write about the project leader’s own artistic research
  • funding for hospitality and representation

ASSESSING THE APPLICATION

All the submitted applications will be forwarded to the Artistic Research Committee. The committee meets twice every calendar year in order to assess the applications approximately a month after each application deadline. The committee evaluates the quality of every project on the basis of the Academy’s definition of artistic research.

The applications are evaluated according to a checklist where the various elements of the application (topics and objectives; context; methods and activities; budget; etc.) are assigned a grade of 1–7, where 7 is the best and 1 is the worst. The committee will use these grades to reach an overall decision on which applications are:

  • clearly worthy of funding
  • worthy of funding
  • not worthy of funding

On the basis of this assessment and of how much funding is available, the committee will determine which applications will be allocated funding and how much.

In its decision-making, the committee will also consider it a positive if the application:

  • is relevant to teaching (artistic research-based teaching)
  • involves collaboration, whether intradepartmental, interdepartmental or external
  • is a preliminary project for the Norwegian Artistic Research Programme and similar large-scale projects

EXECUTING THE PROJECT

Artistic research projects (whether project, conference or publication) that are allocated funds from the Artistic Research Committee will receive a letter specifying the framework of the allocation.

The project leader bears the academic, administrative and financial responsibility for carrying out the project within the financial framework the Artistic Research Committee has established. This entails that the project leader is responsible for:

  • being familiar with the procedures and rules that apply at the Oslo National Academy of the Arts in regard to carrying out a research project
  • carrying out the project in line with the Academy’s guidelines for research integrity and good research practice
  • carrying out the project as described in the application and the project schedule
  • documenting the project’s results in the Christin and KHIODA databases in line with what was described in the submitted application.   • overseeing the project’s finances:
    – revising the budget (especially if the funds allocated by the Artistic Research Committee are less than requested in the application, but also if changes arise while executing the project)
    – documenting all outlays and expenses on an ongoing basis, and seeing to that these costs are in line with the budget and the project description
    – adhering to the Academy’s procedures and guidelines that apply to salaries, travel expenses, contracts, invoices and procurements; cf. https://khio.no/en/intranet/for-ansatte/finance. Extension

  • Every project is assigned a concluding date by the Artistic Research Committee. If the project leader should wish to postpone this date, he or she must apply for this. The application will be presented to the Artistic Research Committee at the following meeting. It is the Artistic Research Committee that decides whether to grant an extension.
  • The extension of an artistic research project is normally only granted because of factors outside the project’s control.
  • Requests for extension based on “ordinary” reasons are normally not approved.

Revision 

  • Requests for a substantial revision of a project funded by the Artistic Research Committee are normally not approved.
  • If the project is not carried out as planned, the basis for the allocation is no longer valid.
  • In such an event, a new application for a new artistic research project may be submitted in the usual manner.

CONCLUDING THE PROJECT 

All artistic research projects that have received funds from the Artistic Research Committee are assigned a concluding date by the committee. After this date, the committee will be presented with the project documentation that has been registered in KHIODA. The committee will then evaluate whether the project’s results tally with what was outlined in the original application. On this basis, the committee will determine whether the documentation can be approved and will then conclude the project. 

If an artistic research project funded by the Artistic Research Committee lacks the requisite documentation, the project leader cannot apply for new funds from the committee, neither for a new artistic research project nor for the same one. If, after the project has concluded, there are residual funds and/or less money has been spent than planned in the budget, the money in question is to be returned to the Artistic Research Committee.

Application Guidelines: How to Apply for Artistic Research Committee Funds?

Prior to filling in the application form

Familiarise yourself with the “Guidelines for Internal Artistic Research Committee Funds”, which details who may apply, the stipulations for receiving funds, which projects normally do not receive funding, how the Artistic Research Committee assesses applications, etc.

All research at the Oslo National Academy of the Arts must meet the requirements to privacy and research ethics, cf. the Academy’s guidelines for research integrity and good research practice. When submitting an application form, project leaders confirm that they have familiarised themselves with these guidelines and that all research associated with their project will adhere to these guidelines.

Choose the appropriate application form among three types: project, conference and publication

Personal data and project summary

The following applies to all three application forms:

  • Fill in page 1 of the application form: project title, personal data (for the project leader and any collaborators), brief project summary.
  • Applications should be submitted via e-mail to postmottak@khio.no by the application deadline 1 April or 1 October.
  • After the application has been processed by the the Artistic Research Committee, a reply will be sent to the project leader/applicant with a copy to the project owner (the dean) no later than two months after the application deadline.

Projects: How to Fill in a Funding Application

Projects encompass everything from small-scale preliminary projects to major collaborations. The application form is structured as several fields that must be filled in. Guidelines are provided below.

Topics and objectives

Up to 2000 characters including spaces. This should for example outline:

  • the project’s topics and questions
  • the project’s limits, intentions and expected artistic results
  • the project’s potential for innovation

Context

Up to 1000 characters including spaces.

  • What is the project’s wider context within art/design?
  • Does the project relate to specific disciplines, artists/designers, or art/design movements, traditions, discourses and the like, whether nationally or internationally?
  • If so, how does this affect/inspire the project?

Methods and activities

Up to 1000 characters including spaces

  • Which methods, approaches, processes, investigations and activities does the project use, and how do they relate to the project’s topics?
  • Does the project entail any artistic and methodological challenges and risks?

Results, documentation and reflection

Up to 1500 characters including spaces

  • Which artistic and/or theoretical results will the project lead to, and in which contexts will they be presented and shared?
  • How will the project be documented, and how will this documentation be presented?
  • How will the project work on reflection, and how will this reflection be presented and shared?

Institutional affiliation

Up to 1000 characters including spaces

  • What is the project’s value to the Academy’s professional communities, teaching and artistic research?
  • Is the project also valuable to professional communities elsewhere?

Budget

The project leader may apply for funding for the following:

  • procurement of goods, services and technical support
  • travel expenses
  • release from other duties (must be approved by the head of the academic unit/the dean)

In regard to budgeting, please note the following:

  • The budget must be set up in accordance with the current guidelines at the Academy.
  • The budget must indicate the project’s total costs and clearly specify any other funding sources that are supporting the project. Funding from other sources must be confirmed by a letter of allocation or other type of confirmation that demonstrates that the funds have been allocated to the project; this applies when the source of funding is Arts Council Norway, the Research Council of Norway, the Fritt Ord foundation or a department at the Academy. Funding from other sources that may be potentially applied to in the future cannot be included in the budget.
  • The budget must indicate how much funding is being applied for from the Artistic Research Committee and how much the given department or external funding sources will contribute.
  • Travel and subsistence expenses must be budgeted on the basis of actual, reasonable modes of transport and non-extravagant types of subsistence.
  • Remuneration to external experts (keynote speakers, lecturers and course leaders) should follow the Academy’s current rates.
  • Remuneration to external actors for producing a text should follow the rates used by the Norwegian Non-fiction Writers and Translators Association (NFF).
  • A precondition for receiving funds is that the project leader uses the time dedicated to artistic research in their work plan to carry out the project. In those cases where this time is insufficient, the project leader may apply to be relieved of their other obligations at the Oslo National Academy of the Arts, such as teaching, supervising and the like, and thereby use more of their working hours on the project (so-called frikjøp). Funds allocated for such purposes can e.g. be used to pay for a substitute to work in place of the project leader. Such funds can only be allocated according to the terms of the project leader’s and project participants’ full-time equivalent position (FTE, expressed as a percentage) at the Academy. Applicants may not apply for additional work hours above the FTE stated in their contract. Moreover, the dean must approve how the project participants are to be relieved of their other duties, in regard to both the work plan in general and their educational activities in particular.
  • Being released from other duties must be approved by the head of the academic unit/the dean. The ordinary rates that apply at your department must be adhered to.

Conferences: How to Fill in a Funding Application

A conference in this context refers to an artistic research-related venue of sharing (e.g. a seminar, workshop or symposium) that is carried out by an academic community at the Academy. It is expected that the Academy’s own academic staff will be active contributors to such events.

The application form is structured as several fields that must be filled in. Guidelines are provided below.

Topics and objectives (up to 2000 characters including spaces)

  • the conference’s topics and questions
  • the conference’s target group and intention

Context (up to 1000 characters including spaces)

  • What is the conference’s wider context within art/design?
  • Does the conference relate to specific disciplines, artists/designers or art/design movements, traditions, discourses or the like, whether nationally or internationally?
  • If so, how does this affect /inspire the conference?

Execution (up to 1000 characters including spaces)

  • How will the conference be carried out?
  • Describe the activities, the expected number of participants, the number of days, the time, the venue and any collaborators

Documentation (up to 500 characters including spaces)

  • How will the conference be documented? (Documentation is to be submitted to the Academy’s institutional repository KHIODA at khioda@khio.no)

Budget

The project leader may apply for funding for the following:

  • procurement of goods, services and technical support
  • travel expenses
  • release from other duties to work on large-scale events (planning, execution, follow-up work and post-conference work)

Publications: How to Fill in a Funding Application

In this context, a publication refers to a book, pamphlet, e book, net-based publication, etc., that stems from artistic research.

Publication funding is granted in order to reproduce a finished product (manuscript, dummy, film screening or performance) and requires that work on the publication has been completed.  

A publication must be quality assured through peer review by at least one internal and one external peer reviewer.

The application form is structured as several fields that must be filled in. Guidelines are provided below. 

Execution/reproduction (up to 1000 characters including spaces)

  • Describe the choice of medium (book, pamphlet, e book, net-based publication or other) and the activities leading to the publication (proofreading, copy-editing, editing, design/layout, printing)

Dissemination and presentation (up to 1000 characters including spaces)

  • How will the publication be launched and disseminated to the professional community?
  • Documentation is to be sent to the Academy’s institutional repository KHIODA at khioda@khio.no.
  • Describe what you plan to send to KHIODA.

Peer review

  • Indicate who conducted the peer review of the publication. At least one internal and one external peer reviewer must be stated with their name, position and area of expertise.

Budget 

The project leader may apply for funding for the following:

  • proofreading, copy-editing, editing, design/layout
  • printing – estimates for publications shall be based on a print run of 200 copies
  • expenses in connection with the use of artistic material and the securing of rights
  • release from other duties 

In regard to budgeting, please note the following:

  • The budget must be set up in accordance with the Academy’s current guidelines.
  • The budget must indicate the project’s total costs and clearly specify any other funding sources that are supporting the project.
