What are Examiner Guidelines?

Examiner guidelines are a key tool to ensure that students assessments are conducted on a consistent and academically sound basis. They help to promote fairness, quality, and transparency in the examination process.

Why are Examiner Guidelines important?

The examiner guidelines are intented to:

  • Ensure a shared understanding of the assessment criteria
  • Support fair and consistent evaluation of student performance
  • Fullfil the legal requirement in Section 11-7, third paragraph of the Universities and Colleges Act, which states that written examiner guidelines must be prepared for all exams.

Types of Examiner Guidelines at KHiO

KHiO uses two types of examiner guidelines:

  1. General examiner guidelines
  2. Adapted examiner guidelines

Roles and Responsibilities

Dean

  • Determines which courses should have general or adapted examiner guidelines

Course Responsible

  • Prepares the examiner guidelines
  • Ensures that all examiners receive the guidelines well in advance of the exam

When Should the Examiner Guideline Be Ready?

  • Examiners must receive the guidelines before the exam takes place
  • The guidelines should be made available to students after the grade has been determined
  • Preferably, the guidelines should be published in the course's Canvas room

  • External examiner without Norwegian ID: Use a Feide account (your department must request access) .

Note: You will only see courses where you are registered as an examiner in FS (Felles studentsystem). This link is created by the study administration. 


What can you do in Fagpersonweb?
  • Generate class lists
  • View student details and teaching plans
  • Send messages to students
  • Register grades
  • Provide grade explanations

When can you register grades?

After the exam dates has passed, a notification will appear on the Fagpersonweb homepage indicating that grading can begin.

To register grades: 

  1. Click "Register grades" on the homepage.
  2. You can also find all grading assignments under the "Grades" menu. 

Registering grades

When you open a grading assignment, you will see a list of candidates.

  • For Pass / Fail assessments, use the buttons labeled "Pass" and "Fail".
  • For letter grades, enter the grade in the designated field. 
  • You can add private notes in the "My comment" field (visible only for you). These notes vill be available later if you need to provide a grade explanation. 

Co-grading (Samsensur) - Two methods (under development)

Errors in registered grades?

If you have signed and transferred incorrect grades, contact your department's study administration. They can correct the error in FS.

Recognition of Previous External Education (Credit Transfer)

This page provides you, as an academic or administrative staff member, an overview of the process for recognising previous external education (credit transfer) at KHiO.


What does recognition/credit transfer mean?

Recognition means that education from another institution can be approved as part of the student’s degree at KHiO, provided it meets the requirements for level, scope, and learning outcomes.


Your role as an academic staff member
  • You must not process applications or assess documentation.
  • You must never confirm that the education can be approved. 
  • Always refer the student to the Study Administration for any questios about recognition. 

You may inform the student that: 

  • The application is processed by the Study Administration and the Dean.
  • Documentation must be submitted within the deadline. 
  • At least 60 ECTS credits  must be completed at KHiO to obtain a degree. 

How to guide the student?

If a student asks about recognition:

  • Confirm that it is possible to apply for credit transfer. 
  • Refer them to KHiO's website for details about the application process. 
  • Provide the contact point: Study Adviser in their department.
  • Do not give academic assessments, these are made by the Dean or academic committee. 

Brief overview of the process (for your information)
  • The student applies via the online form within the deadline (1 December / 1 February). 
  • The Study Administration checks documentation. 
  • The dean/academic committee assesses the academic content.
  • The decision is sent to the student with the right to appeal. 

Note: This assessment is not part of the regular admissions process but is a separate application once study rights have been established.


Common questions from students

Can I get part of a course approved?
No, KHiO normally does not approve parts of courses.

Will I automatically mot to a higher year if I get exemptions?
No, this depends on capacity in the second or third year.

Does recognition affect student loans (Lånekassen)?
Yes, it may affect loan and grant payments.
