Guidelines for examiners

About examiner guidelines and responsibilities.

What are Examiner Guidelines?

Examiner guidelines are a key tool to ensure that students assessments are conducted on a consistent and academically sound basis. They help to promote fairness, quality, and transparency in the examination process.

Why are Examiner Guidelines important?

The examiner guidelines are intented to:

  • Ensure a shared understanding of the assessment criteria
  • Support fair and consistent evaluation of student performance
  • Fullfil the legal requirement in Section 11-7, third paragraph of the Universities and Colleges Act, which states that written examiner guidelines must be prepared for all exams.

Types of Examiner Guidelines at KHiO

KHiO uses two types of examiner guidelines:

  1. General examiner guidelines
  2. Adapted examiner guidelines

The template below can be used for both types:

TEMPLATE Guidelines for examiners (PDF)

TEMPLATE Guidelines for examiners (Word)

Roles and Responsibilities

Dean

  • Determines which courses should have general or adapted examiner guidelines

Course Responsible

  • Prepares the examiner guidelines
  • Ensures that all examiners receive the guidelines well in advance of the exam

When Should the Examiner Guideline Be Ready?

  • Examiners must receive the guidelines before the exam takes place
  • The guidelines should be made available to students after the grade has been determined
  • Preferably, the guidelines should be published in the course's Canvas room

Fagpersonweb

Do you need to view class lists or register marks digitally? Then you can use Fagpersonweb!

Logg in to Fagpersonweb

Logg in to Fagpersonweb🔐

How to log in:

  • Employees at KHiO:
    Log in with Feide
  • External examiners with a Norwegian national ID number og D-number:
Log in via ID-porten (BankID, Buypass eller Commfides).
  • External examiners without Norwegian national ID number: Log in with a Feide account (Access must be requested by your department in advance) .

Important: You will only see courses where you are registered as teacher or examiner in FS (Felles studentsystem). The Study Administration registers you in the system.

What can you do in Fagpersonweb?

In Fagpersonweb, you can:

  • view class lists
  • view student information
  • send messages to students
  • register marks
  • provide written explanations for marks
  • process appeals against marks

When can you register marks? ⏱️

When the examination is completed, you will receive a notification on the Fagpersonweb homepage.

Deadline

Marks must be registered within 15 days after the examination, unless otherwise agreed.

Registering marks

Before you begin, you must:

  • agree with the other examiners who will enter the marks
  • check that all candidates have been assessed
  • be aware og the marking deadline

Find the marking assignment

You can find the marking assignment in two ways:

  1. Click "Register marks" on the homepage.
  2. Go to the "Marks" menu

When you open the assignment, you will se a list of all candidates.

Registering marks

  • Pass/Fail: Click "Pass" or "Fail".
  • Letter grade: Select the grade from the drop-down menu next to each candidate's name.

You may write notes in the "My comments" field.

  • These comments are only visible to you.
  • They may be useful when writing explanations later
  • Remember to click "Save" as you go

Joint marking (samsensur) - when there are several examiners

If there are several examiners on the marking committee, you have two options:

Option 1: Each examiner registers their own marks.

This is possible but can be confusing.

Option 2 (recommended): One examiner registers all the marks on behalf of the committee.

You agree internally who will enter all the marks on behalf of the committee.

How to proceed when one examiner registers the marks

Step 1: Registration

  1. Examiner 1 logs in to Fagpersonweb.
  2. Selects "I want to register marks on behalf of the committee".
  3. Registers all marks. Note: Candidates sho should not receive a mark must be left blank. The Study Administration handles this.
  4. Click "Save and next step".

Step 2: Signing

  1. The other examiners log in
  2. They can view the marks but cannot change them
  3. They may add private comments if needed
  4. They click "Save and next step", followed by "Sign". Signing means they approve the marks.

Step 3: Submitting the marks

Once all examiners have signed, the marks can be submitted.

  1. Examiner 1 logs in again
  2. Clicks "Sign and submit"
  3. The marks are sent to FS and will become visible to students in Studentweb once administrative processing is completed.

If you have entered a mark incorrectly

If you have:

  • signed an incorrect mark, or
  • submitted incorrect marks
--> Contact the Study Administration immediately. You cannot correct marks yourself once they have been submitted.

Recognition of Previous External Education (Credit Transfer)

This page provides you, as an academic or administrative staff member, an overview of the process for recognising previous external education (credit transfer) at KHiO.

What does recognition/credit transfer mean?

Recognition means that education from another institution can be approved as part of the student’s degree at KHiO, provided it meets the requirements for level, scope, and learning outcomes.

Your role as an academic staff member
  • You must not process applications or assess documentation.
  • You must never confirm that the education can be approved.
  • Always refer the student to the Study Administration for any questios about recognition.

You may inform the student that:

  • The application is processed by the Study Administration and the Dean.
  • Documentation must be submitted within the deadline.
  • At least 60 ECTS credits  must be completed at KHiO to obtain a degree.

How to guide the student?

If a student asks about recognition:

  • Confirm that it is possible to apply for credit transfer.
  • Refer them to KHiO's website for details about the application process.
  • Provide the contact point: Study Adviser in their department.
  • Do not give academic assessments, these are made by the Dean or academic committee.

Brief overview of the process (for your information)
  • The student applies via the online form within the deadline (1 December / 1 February).
  • The Study Administration checks documentation.
  • The dean/academic committee assesses the academic content.
  • The decision is sent to the student with the right to appeal.

Note: This assessment is not part of the regular admissions process but is a separate application once study rights have been established.

Common questions from students

Can I get part of a course approved?
No, KHiO normally does not approve parts of courses.

Will I automatically mot to a higher year if I get exemptions?
