The study year 2021/22 at KHiO ends Friday June 24.

We have gathered various pieces of information and an overview of important dates and deadlines in connection with the end of the academic year.

*Exceptions for students who have been granted summer studios. They will have access through summer until the academic year starts in August.

The students will receive further info from their department on deadlines for submitting technical equipment, emptying wardrobes, student areas and workshops.

Information from service, user support and infrastructure – summer cleaning and resetting the academy

Be careful with reading the info you receive from your department concerning the summer at KHiO. Summer access is decided by each department, and the departments also decide the deadlines and instructions for students. The department are responsible for ensuring that cleaning and resetting happens according to plan, and will be part in and responsible for clearing the areas before study start.

Service, user support and infrastructure abide by the deadlines that departments set for their students, so that we do not clean rooms and areas which the students have permission to use.

For those who are NOT granted summer access from your department:
You should retrieve your belongings from the academy by the deadline set by your department. Ensure also that you remove your waste. If the department has established a storage area for student belongings you can enquire with the department leadership concerning summer storage. You should paint the studio walls white and clean the floors, if studio surfaces do not appear presentable for the next student to use in the coming autumn. You are also required to remove your belongings from the common areas – irrespective of whether you are granted summer access or not. Service, user support and infrastructure are not able to take care of or be responsible for things left at the premises.

For those who ARE granted summer access from your department:
You should paint the studio walls white and clean the floors, if studio surfaces do not appear presentable for the next student to use in the coming autumn. This also applies if you are moving out of your current studio and into another during the summer. You are also required to remove your belongings from the common areas – irrespective of whether you are granted summer access or not. Service, user support and infrastructure are not able to take care of or be responsible for things left at the premises.

Storage of belongings may only occur in the assigned area for summer access, or alternately in the department's own storage space. Consult with the departments concerning access. You will only have permission to use the area that your department grants you. Access will be given to your access card for the period granted, and to your specific area. Service, user support and infrastructure receives info from your department concerning this, and you do not need to contact the section.

You have to abide by instructions from Service, user support and infrastructure concerning necessary work in your assigned area. Service, user support and infrastructure are unable to offer service for students during the summer. It is therefore the students' own responsibility to ensure cleaning and waste manangement.

Post and archive

Post will be delivered throughout summer. But in the period between July 4.-29. there will be no distribution of mail, and the archive will not be available for registering mail in Public 360. Users will still have full acess to the system. If post arrives with short deadlines for reply, a copy will be forwarded to the correct section/person, - the original is placed in the archive and later registered in Public 360. Post that does not require processing in Public 360 (such as invoices, hour lists, directly addressed mail, invites, questions on study admission, etc.) will be distributed directly into mail slots in the mail room or forwarded by email throughout summer as usual.

Ventilation and cooling

The academy will have very limited operation of the ventilation and cooling facilities in July, which means that the area can get warm. All employees may use their regular office space in the period, but are encourage to use free seating in the office space where the administrative sections are usually located. The ventilation and cooling will function as normal here throughout July, thus offering good working conditions. This office space is placed in the second floor of building 2.3 south – in the floor above the rector. Bring your laptop and find an available desk.

Expense reimbursements and travel expenses

Expense reimbursements and travel expenses are sent via ESS or DFØ-app. For info, see this link. There are also info/guides to be found on DFØ's page. Travel expenses and expens reimbursements submitted via ESS or the DFØ-app, and indicated by the leader by July 12. will be paid July 15. (Next payment of indicated travels is August 12.)

If you do not have access to ESS and have manual expense reimbursements/outlays that you wish to have paid before vacation, these will have to be delivered to accounting by June 28. 12:00. What you sumbit must be labeled with budget unit and project number, and be indicated by leadership. Other manual appendixes must be sumbitted to accounting within the same deadline. Anything submitted after June 28., 12:00, will be paid after August 10.
